Personal, identification, and curricular data – including any special categories of data – collected by MILTECH S.r.l. within the scope of recruitment activities are processed exclusively to evaluate the candidate's profile for the potential establishment of an employment or collaboration relationship. Data collection may occur via the corporate website, recruitment platforms, or through spontaneously submitted CVs, including paper format or hand-delivered. Processing primarily concerns common personal data (e.g., identification details, contact info, educational and professional experience, candidate’s photo if present in the CV) and will be carried out within the limits strictly relevant to the purposes indicated above. Candidates are requested not to include special categories of data pursuant to Art. 9 of EU Regulation 2016/679 (such as health, religious, or political information) unless strictly necessary for selection purposes (e.g., belonging to protected categories). In such cases, processing will occur solely for purposes related to the fulfillment of specific obligations and the establishment of the employment relationship, in compliance with current regulations. MILTECH S.r.l. reserves the right to keep only profiles deemed of interest in its archives for a period proportionate to the selection purposes and within the time limits defined in this policy.
Personal data are processed by the controller and duly authorized processors for the correct fulfillment of the indicated purposes using electronic tools and paper archives, as well as with security measures designed to guarantee the confidentiality of personal data and prevent undue access by unauthorized parties. The data controller does not use automated processes, including profiling, to achieve the purposes set out in this policy.
The legal basis for processing is found in Art. 6(1)(f) of the GDPR: "processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party." Provision of data is optional; however, failure to provide it will prevent the controller from evaluating the candidate's profile. In cases where the CV contains special categories of data under Art. 9 of EU Regulation 2016/679 (e.g., health data for protected categories), the legal basis resides in Art. 9(2)(b) (fulfillment of obligations in the field of employment law) or, where necessary, in the explicit consent of the data subject under Art. 9(2)(a). Consent is expressed by the voluntary submission of the CV via email, fax, or the dedicated section on the website. Consent to the processing of personal data will be formally acquired through the signing of the specific declaration of acknowledgement and consent at the bottom of this policy. In any case, the voluntary submission of the CV, including through external platforms or in paper format, implies acknowledgment of this policy.
Collected data may be communicated to duly appointed external parties who perform activities on behalf of the data controller, such as: HR consulting firms for profile evaluation and screening, labor consultants, etc. Personal contact details (phone number, email) will be used exclusively by authorized internal personnel for the sole purpose of contacting the candidate regarding the selection process. No communication to non-EU third countries or dissemination (e.g., social networks, websites, etc.) is planned.
The Controller will process personal data for the time necessary to fulfill the above purposes and in any case for no longer than 12 months from collection. After this period, the controller or an appointee will proceed to delete the CV or anonymize the data.
The data subject has the right to request access to their personal data, its rectification, deletion, or restriction of processing, as well as the right to object to processing and request data portability. Requests can be made via email, fax, or registered mail with the subject: "Request by the data subject," specifying the right to be exercised (deletion, rectification, portability, right to be forgotten), together with a valid email/PEC address for the response. The controller will satisfy the request within 30 days. If the response is complex, this period may be extended by an additional 30 days, following timely notification to the data subject.
